COVID-19 Preparedness Plan for Fiat Wealth Management
To comply with the Minnesota Department of Health requirement and for the safety of everyone, all visitors must wear masks in our office.
Fiat Wealth Management is committed to providing a safe and healthy workplace for all our team members, clients and potential clients. To ensure we have a safe and healthy workplace, we have developed the following COVID-19 Preparedness Plan in response to the COVID-19 pandemic. Managers and team members are all responsible for implementing this plan. Our goal is to mitigate the potential for transmission of COVID-19 in our workplaces and communities, and that requires full cooperation among our team, clients and potential clients visiting the office. Only through this cooperative effort can we establish and maintain the safety and health of our workers and workplaces.
All members of the Fiat Wealth Management team are responsible for implementing and complying with all aspects of this COVID-19 Preparedness Plan. All members of the Fiat Wealth Management team have our full support in enforcing the provisions of this policy.
The people of Fiat Wealth Management are our most important assets (both team members of clients), and our whole business is based on a harmonious relationship. We are serious about safety and health and also continuing to serve our beloved clients. Team member involvement is essential in developing and implementing a successful COVID-19 Preparedness Plan. We have involved all members of our team in this process by sharing our plan and opening up for comments and concerns from all members of the team, and providing an opportunity for one on one counsel with a member of the leadership team to voice any specific concerns team members would like to discuss privately. Our COVID-19 Preparedness Plan follows Centers for Disease Control and Prevention (CDC) and Minnesota Department of Health (MDH) guidelines, federal OSHA standards related to COVID-19 and Executive Order 20-48, and addresses:
hygiene and respiratory etiquette;
engineering and administrative controls for social distancing;
cleaning, disinfecting, decontamination and ventilation;
prompt identification and isolation of sick persons;
communications and training that will be provided to managers and workers;
management and supervision necessary to ensure effective implementation of the plan; and
communications and instructions for customers.
Screening and policies for employees exhibiting signs and symptoms of COVID-19
Team members have been informed of and encouraged to self-monitor for signs and symptoms of COVID-19. The following policies and procedures are being implemented to assess workers’ health status prior to entering the workplace and for workers to report when they are sick or experiencing symptoms. Team members agree to self monitor for symptoms (including elevated fever), and will communicate directly with the company president to address concerns. All team members will have the opportunity to work from home for the next 90 days if they choose to do so. If symptoms begin to appear in the office, the team member will be quarantined in the main conference room (provides ample space) until they have the opportunity to go home (which they will be encouraged to do so right away).
Fiat Wealth Management has implemented leave policies that promote workers staying at home when they are sick, when household members are sick, or when required by a health care provider to isolate or quarantine themselves or a member of their household. All team members have been provided the opportunity to work from home for the next 90 days without question. Accommodations for workers with underlying medical conditions or who have household members with underlying health conditions have been implemented. 10 days of sick leave apply to care for either family members or personally over the next 90 days.
Fiat Wealth Management has also implemented a policy for informing workers if they have been exposed to a person with COVID-19 at their workplace and requiring them to quarantine for the required amount of time. All team members are required to immediately report to the company president if they have been exposed and will be given the opportunity to work from home for the next 90 days.
In addition, a policy has been implemented to protect the privacy of workers’ health status and health information. All communication with the company president, including specific concerns, will be kept private and kept in a one to one conversation.
Handwashing
Basic infection prevention measures are being implemented at our workplaces at all times. Team members are instructed to wash their hands for at least 20 seconds with soap and water frequently throughout the day, but especially at the beginning and end of their day in the office, prior to any mealtimes and after using the toilet. All clients and visitors to the office will be required to wash or sanitize their hands prior to or immediately upon entering the facility. Hand-sanitizer dispensers (that use sanitizers of greater than 60% alcohol) are at entrances and locations in the workplace so they can be used for hand hygiene in place of soap and water, as long as hands are not visibly soiled.
Hand sanitizer will be provided at the front desk upon arrival and access to a restroom available directly off of the main lobby of the Fiat Wealth Management office along with a sign asking visitors to please sanitize or wash hands upon entering the office. Our client concierge inventories and stocks supplies to ensure we have hand sanitizer available and in stock at all times.
Respiratory etiquette: Cover your cough or sneeze
Team members, clients and visitors are being instructed to cover their mouth and nose with their sleeve or a tissue when coughing or sneezing and to avoid touching their face, in particular their mouth, nose and eyes, with their hands. They should dispose of tissues in provided trash receptacles and wash or sanitize their hands immediately afterward. Respiratory etiquette will be demonstrated on posters and supported by making tissues and trash receptacles available to all workers, customers and visitors. Visible posters and tissues will be provided along with trash receptacles in each room.
Social distancing
Social distancing of six feet will be implemented and maintained between team members, clients and visitors in the workplace through the following engineering and administrative controls:
Fiat Wealth Management currently has an optional work from home schedule for all team members in place for the next 90 days. All communication can be completed through Zoom, Slack, or email. Visible poster reminders are provided throughout the office to remind team members, clients, and visitors of the importance of social distancing, including 6 feet of space. We have a large conference room and conference table that allows for more than 6 feet of distance for visiting clients and prospects and have the option for all client visits to be held on Zoom or over the phone. The Zoom link is provided in Calendly (our scheduling software) along with a copy of this policy. We will allow no more than 4 visitors in the lobby at a time to allow for appropriate spacing. If any handouts, pens, or any other material is shared, those will be disinfected after each use. A mask will be provided for each team member upon request to the company president.
Cleaning, disinfection, and ventilation
Regular housekeeping practices are being implemented, including routine cleaning and disinfecting of work surfaces, equipment, and areas in the work environment, including restrooms, break rooms, lunch rooms, meeting rooms, and lobby. Frequent cleaning and disinfecting will be conducted in high-touch areas, such as phones, keyboards, touch screens, controls, door handles, elevator panels, railings, and copy machines. All the above will be wiped down with Clorox wipes (bleach disinfectant) and in addition to scheduled cleaning provided by the property manager, the client concierge will disinfect each day after a guest visits the office the high touch areas including: lobby table and lobby room desktop.
Appropriate and effective cleaning and disinfectant supplies have been purchased and are available for use in accordance with product labels, safety data sheets and manufacturer specifications and are being used with required personal protective equipment for the product. The client concierge will be responsible for procuring the CDC recommended cleaning supplies and read all instructions to use. The maximum amount of fresh air is being brought into the workplace, air recirculation is being limited and ventilation systems are being properly used and maintained. Steps are also being taken to minimize air flow blowing across people. Windows will be opened when the weather allows and guests will also have access to the on site rooftop deck for fresh air or to visit. Social distancing allowed will minimize confined air from individuals.
Communications and training
This COVID-19 Preparedness Plan was communicated through Slack (internal communication tool) to all team members on 5/18/2020 and necessary training was provided. Additional communication and training will be ongoing and provided through Slack and provided to all team members who did not receive the initial training. Instructions will be communicated to clients and visitors about: how drop-off, pick-up, delivery and in-office visits will be conducted to ensure social distancing between the clients and team members; required hygiene practices; and recommendations that visitors use face masks when visiting the office. Clients and visitors will also be advised not to enter the workplace if they are experiencing symptoms or have contracted COVID-19. This will be communicated through Calendly (our scheduling software). The leadership team are to monitor how effective the program has been implemented via a weekly review of visitors to the office. The entire Fiat Wealth Management team are to work through this new program together and update the training as necessary. This COVID-19 Preparedness Plan has been certified by Fiat Wealth Management president and was posted throughout the workplace on 5/18/20. It will be updated as necessary.
